Executive Assistant  - London

Key Responsibilities

 

Daily Administration

  • Proactive diary management and regular communication of updates

  • Prioritise work and projects against time and importance through exercise of judgment and consultation with line managers as may be required

  • Coordinate travel and accommodation, book flights, cars, rail tickets etc in line with company policies

  • Produce documents such as letters, proposals and presentations from drafts to a high level of presentation, accuracy and timeliness using various MS Office packages and house formatting styles

  • Become familiar with the main themes and products to develop confidence in managing the arranging of meetings with clients

  • Develop rapport with clients and their PAs to further develop the client relationships

  • Maintain and update the list of contacts and business activities in address book and in firm’s CRM system

  • Work in close collaboration with the firm’s PA team and office managers in other offices

  • Provide support to the firm’s events, in particular Investor Allstars, one of GP Bullhound’s flagship events

  • Absolute confidentiality is required at all times

  • Ability to communicate with a wide range of stakeholders including clients and colleagues at all levels

  • Ability to prioritize and action a high volume of high priority tasks in an extremely fast paced environment

 


Job requirements

Previous experience and qualifications

 

  • Proven experience as a executive assistant is required

  • Events experience desirable

  • Social media skills and experience required

  • Advanced IT skills, including MS Word, Excel, PowerPoint and Outlook required

  • Fluency in English is required, another European language is desirable
